Our Contract Terms – please read carefully.

1. V.S.F Services

a. V.S.F is engaged in the supplying and management of replacement section garage and brick garage roofing materials, doors, windows and uPVC products. Also, the management of the safe disposal of asbestos cement fibre sheets and its disposal.

2. Delivery and disposal of Materials

a. V.S.F agree to deliver all products itemised on the Purchase Contract. The Company is also responsible for the safe and legal disposal of any materials removed from your installation address in connection with your refurbishment including ACM (asbestos containing materials).
b. The fee payable to the Company is for the Supply and Delivery of all materials in connection with your Purchase Contract. Incorporated into this price is the cost which covers the hiring of the specialist vehicle (including fuel and sundry costs) related to the delivery of purchased materials.
c. Delivery dates are given in good faith, but for clarification are estimates only.
d. Timescales for delivery of materials shall not be of the essence of the Purchase Contract.
e. For the avoidance of any doubt and without detracting from any other provisions of these Contract Terms, VSF shall not be liable for any damages whatsoever whether direct or indirect (including for the avoidance of doubt of any liability to any third party) resulting from any delay in delivery of the materials, or the failure to deliver the materials in a reasonable time – whether such delay or failure is caused by our negligence or otherwise.

3. Approved Installers and Installation

a. V.S.F can recommend Approved Installers who have all, current certification for removing non-licensed asbestos-containing materials, working at heights, manual handling and conformity to current H&S regulations. They also hold valid waste carriers’ licenses and will carry out your installation with minimum fuss, disruption and with care and consideration for your property.
b. If required, during the Technical Survey your Surveyor can discuss and suggest Approved Installers available in your area and confirm with yourself, a suitable Approved Installer to complete your garage refurbishment. Furthermore, your Surveyor will liaise with the Company’s Head Office, book and furnish you with a week commencing date for the works identified to be completed.
c. Your appointed Approved Installer will contact you to arrange installation.
d. Alternatively, you may prefer to arrange your own installers.

4. Some useful information

a. All contracts are subject to acceptance only after a full Technical Survey and Price Check has been completed by V.S.F.
b. In consultation with you, specifications of materials and work carried out may be altered if considered more suitable.
c. Timbers will only be replaced if deemed necessary. i.e. rotten or if agreed in advance. This will keep our costs as competitive as possible and will also reduce our carbon footprint.
d. Our individual steel roof sheets are manufactured to a maximum size of 1m width x 8m length as standard. Non-standard sheets up to 11.5m in length can be obtained upon request but these would include handling and transportation charges, included in your contract agreed price.
e. Seamless rubber roof sheets are supplied to a maximum size of 30.5m x 6.1 m as standard. Jointing would be necessary above these sizes.
f. V.S.F cannot be responsible for design or structural defects in a building that may affect your installation. These can include (but not be limited to) subsidence or movement of your garage structure which may affect the appearance of door and window squareness making them appear to lean or to appear out of square. Our products are fitted square to allow correct operation and if the building in question is out of square then the fitted products can appear slanted.
g. Most garages are not constructed with a damp-proof course as is standard in a dwelling property. Sectional buildings are bolted together and rested on a concrete slab, usually at ground level in effect making the floor level of the garage equal to surrounding ground levels. Whereas in a dwelling property the floor level should be at least 150mm/6 inches above ground level making water penetration unlikely. A sand and cement fillet around the inside of the perimeter will combat water ingress, but this cannot be guaranteed due to the design and construction of most sectional garages.
h. Be aware that you do not need to empty your garage of belongings before refurbishment works have commenced. Please advise the Technical Surveyor or your Installer of any items you wish to be removed prior to commencement of the works.
i. Although all products used for our roofing systems are of the highest standard and chosen specifically to reduce or eliminate condensation, no guarantee can be made of this occurring.
j. Making good will be carried out only on areas disturbed by your installers.
k. You will receive your receipt, maintenance instructions and your official asbestos certificate within 10 days of full payment.

5. Replacement Garages – important notes

a. Although, in most instances existing base work is of an acceptable standard to have garages constructed on, the following list of issues may require additional work(s);
• Existing base is too small for new construction
• Existing base is out of square
• Existing base is out of level
b. Although great care is taken upon Technical Survey to identify issues with existing base work the above points in 5a may not become apparent until the demolition and preparation phase of your contract. The preparation and construction phases are completed over a period of 2 weeks – week 1 preparation, week 2 construction. This timeframe allows for any additional work to be completed without hindering your installation (construction) dates.
c. Any additional work required will be subject to market rates and kept to a minimum.

6. Payment methods and queries

a. Payment in full is due on delivery of your order (Cleared funds i.e. Bankers Draft, Building Society Cheque, Debit Card).
b. Credit card payments are accepted up to £100 maximum per order.
c. If for any reason we are unable to deliver part of the contract a reasonable amount equalling the works not carried out will be withheld from the balance until this work is completed. (E.G £150 per uPVC window, £400 uPVC door, £600 garage door etc.)
d. All materials are ordered promptly after the technical survey and cooling-off period has lapsed. This is to ensure efficiency in your delivery. All ordered materials will then be securely stored in our warehouse until your installation date. Any cancellations after the cooling-off period or postponement will result in payment for goods and costs incurred up to the time of delivery date becoming due – this will equate to 80% of the contract value minus any deposit paid in advance and the installer fee.
e. All goods remain the property of V.S.F until paid for in full.
f. The ownership in the materials shall remain with V.S.F until you pay all sums in full due to the Company, whether in respect of this Purchase Contract or otherwise.
g. V.S.F shall be entitled, at any time, to recover any or all of the materials in your possession to which we have ownership of and for that purpose, V.S.F, our employees or agents may, with such transport as is necessary, enter upon any premises occupied by you, or to which you have access and where the materials/goods may be situated.

8. Our guarantees

a. V.S.F guarantee the installation for a period of 5 years.
b. Guarantees can only be offered on work carried out and completed by V.S.F Approved Installers.

9. This Contract serves as

Our Processes

V.S.F Ltd offers our services and products to a wide client base. We provide quotations via three ways; face-to-face consultations, via the Internet and via our self-quoting portal.

Face-to-face consultations are completed during the hours of 9 am and 5 pm Monday to Friday. This option is available to all prospective customers. Face-to-face consultations are provided via clients that expressly request our services by providing us with their personal information via telephoning our office or via our website. This type of quotation is pre-arranged generally 2-3 days in advance. These consultations typically last between 20 minutes and upwards of an hour depending on the complexity of the job and the number of questions that are raised during the consultation. This type of consultation is more thorough than via the Internet as we are to able to view and accurately assess all work(s) that is required to finer detail. Although this carries an increased cost to you, we are able to offer the best advice available. We always recommend that if you live alone and would like to arrange a face-to-face consultation that you have a family member of friend present during the consultation.

All face-to-face consultations can be cancelled prior to the appointment date and time. There is no obligation to proceed with the consultation. There are no costs associated with the consultation.

All of our Consultants generally are not from your local area. This will incur an additional cost for travelling and occasionally accommodation. This is calculated amongst the number of clients that are being seen so during quieter periods, this cost generally increases.

Internet Sales are carried out in-house by our Internet Sales Team. This option is available to all prospective customers.

We offer this service, so we can provide quotations to customers who lead busy schedules due to work and other commitments and are unable to allocate time and resources for a face-to-face consultation. Internet Sales are provided using 3rd party imaging software along with customer information that is supplied via telephone or via our website. Internet sales may be subject to customer participation to gather correct measurements and descriptions of proposed requirements being provided beforehand or during the quotation period. Internet sales can reduce the overall costs. This includes savings of the costs of consulting, travelling expenses and accommodation due to the nationwide coverage, Internet sales are regularly used to fill in gaps to our installation order book, so we can maximise our installation costs.

Our self-quoting portal is carried out both by our in-house team (providing such platform) and also the end-user (you, the customer). This option is available to all prospective customers.

We offer this service, so we can provide quotations to customers who lead busy schedules due to work and other commitments and are unable to allocate time and resources for a face-to-face consultation. Our self-quoting portal quotes are provided using a bespoke written computer program along with customer information that is supplied via telephone or via our website(s). Self-quoting sales may be subject to customer participation to gather and provide the platform with correct measurements and descriptions of proposed requirements being provided beforehand or during the quotation period. Self-quoting sales can reduce overall costs. This includes savings on the costs of consulting, travelling expenses and accommodation due to the nationwide coverage. Self-quoting sales are regularly used to fill gaps to our installation order book, so we can maximise our installation costs. Self-quoting sales are subject to Technical Survey and may alter depending upon the accuracy of information provided to the platform by the end user.

V.S.F Ltd may from time to time buy products or offer services we provide in bulk to further incentivise our quotations.

Removal Policy

📬 Mailing Opt-Out & Suppression Policy

At VSF Garage Repairs UK, we occasionally deliver marketing letters to residential properties across the UK. These letters are unaddressed and delivered by Royal Mail, using property segmentation based on the Royal Mail Postcode Address File (PAF) database.

We take data privacy and customer rights seriously. This policy outlines how we handle opt-out requests and suppression of addresses from future campaigns.

🔐 No Personal Data Processed

• Our mailings are unaddressed and not linked to named individuals.

• We do not collect, process, or store personal data (such as names or email addresses) as part of our mailing activity.

• Each letter includes a footer to confirm that no personal data is used.

✉️ How to Opt Out

If you no longer wish to receive future mail from us at your property, you can submit an opt-out request.

✅ To opt out:

Email us at optout@vsfltd.com and provide:

• The full postal address of the property you wish to remove from our mailing list.

We will then add your address to our suppression list.

Note: Since we do not track or store personal identities, this opt-out is tied only to the property address, not to individuals.

⏱️ Suppression Duration

• Opt-out requests will result in that address being suppressed for a period of 2 years.

• After this period, the address may be reintroduced into our mailing list as part of our standard resegmentation process.

This time-based policy reflects the likelihood of property occupancy changes and ensures that future occupants are not indefinitely excluded from receiving information that may be relevant to them.

🔁 Re-opt Out Anytime

If you receive another mailing after the suppression period has expired and still wish to opt out, you can do so again at any time using the process above.

🔒 Data Handling

• Suppressed addresses are stored in a file named “Removals” managed by our internal team.

• This file contains address information only and is accessible only to authorized personnel.

• Suppression records are reviewed periodically and removed after the defined 2-year term, unless renewed by a fresh opt-out request.

⚠️ Important Note

• Properties displaying “No Junk Mail” signage may not be targeted, in accordance with Royal Mail’s Door to Door guidelines.

• Since our letters are delivered through Royal Mail, we cannot control delivery errors or prevent temporary misdeliveries outside our opt-out system.

If you have any questions about this policy or your opt-out status, please contact us at optout@vsfltd.com.
